ACH Payments and Recurring Provider Payouts, Delivered Inside a Live Product Without Breaking What Already Worked

A health insurtech startup rebuilt employer sponsored health plans around price transparent, on demand care, paying providers the moment a patient confirms a bill and automating recurring payments to a patient's primary care doctor. Mindbowser integrated ACH account verification and recurring payment scheduling directly into the existing, live product, verifying every bank account before money moved and rebuilding the recurring payment trigger from a basic cron job into a reliable Celery task.

Outcomes

What Shipped

The product team's stated goal for the platform is to cut employer sponsored healthcare costs by $5,000 to $9,000 per employee, 30 to 60 percent, and move provider payment timelines from months to near instant. This ACH and recurring payment integration was built to support that goal. It is not a measured result of this engagement specifically.

  • Working ACH payment integration covering one time bill payments and recurring provider payments, live inside the client's existing product
  • Bank account verification enforced ahead of every transfer, reducing the risk of failed or unrecoverable transactions
  • Reliable monthly recurring payments to primary care doctors, rebuilt from a basic scheduler into a Celery based task after the simpler version hit its limits
  • Delivered inside a live, existing codebase with no disruption to functionality already in production
The Problem

Moving Real Money Inside a Product Already Live With Users

Healthcare billing runs on the assumption that providers wait months to get paid and that patients have no visibility into cost until a bill already exists. This client had already designed around that assumption. Mindbowser had to add real money movement on top of it without breaking what was already in production.

01
A multi day ACH float left providers waiting

Under NACHA's operating rules, standard ACH credit transactions settle in one to two business days. Confirmed bill payments needed to move from confirmed to paid without that gap becoming a source of risk.

02
Bank accounts had to be verified before money moved, not after

A failed transfer after the fact meant chasing money and reconciling account data alongside it. Verification had to clear before any transaction could proceed.

03
Recurring payments had to fire without drift or duplicates

A monthly payment from an employer's account to a patient's primary care doctor needed to trigger on the correct day, with the correct amount, every month, with no one manually starting it.

04
None of it could break an existing, live codebase

The integration had to land inside functionality the product already depended on, which meant understanding how the existing code worked before writing anything new.

What We Built

Our Approach

Tracing the Existing Codebase Before Writing New Code

Before adding any new feature, we traced existing functions end to end to understand how the product actually worked, not just how it looked on the surface. That groundwork is what let the ACH integration land cleanly instead of quietly breaking something adjacent.

  • Collected and checked four required data points before any transaction could proceed: account holder name, routing number, account number, and account type
  • Used Stripe for the account verification and transfer layer, verifying the destination bank account first
  • Blocked the transaction from moving forward unless verification succeeded
  • Sequenced verification ahead of execution so a failed transfer could not leave money or account data in an inconsistent state
