We built a cloud-based childcare management platform end to end: web portals for Super Admins and Center Admins, a responsive portal for teachers, and a cross-platform mobile app for parents, all sharing one system. Daily attendance moved from a paper sign-in sheet to a face scan.

One Platform, Four Role-Scoped Experiences

The build replaced a stack of disconnected tools with a single system built for how a daycare center actually runs.

  • Four fully role-scoped experiences shipped: Super Admin and Center Admin web portals, a responsive Teacher portal, and a cross-platform Parent mobile app, all on the same underlying platform.
  • Working face-recognition attendance replacing manual sign-in sheets for both staff and student check-ins.
  • Automated classroom promotion logic that checks birth date, enrollment date, and class criteria, removing a manual tracking task from center admins.
  • Stripe Connected Accounts routing payments directly from parents to each center's own bank account, with no central operator sitting in the middle.
The Problem

Five Disconnected Tools Running One Classroom

Enrollment, staff, communication, and invoicing lived in separate systems that didn't talk to each other, and none of them handled multi-role access well.

Multi-Role Access With No Permission Leakage

A Super Admin, a Center Admin, a Teacher, and a Parent each need a different window into the same data, with guardian-level access nested under parents. Permissions could not leak across roles.

Manual, Paper-Based Attendance

Attendance tracking was pen-and-paper or a basic sign-in sheet, with no automated or biometric alternative. Under 45 CFR Part 98, subsidized childcare providers must keep accurate daily attendance records, and a sign-in sheet satisfies that requirement without making the job any easier.

Payments That Needed to Route, Not Just Collect

Subscription and payment management between centers and parents needed a secure, flexible gateway that could route money to individual centers, not settle everything into one central account.

Communication That Couldn't Scale

Newsletter distribution to large parent groups needed a scalable email solution rather than a manual send, and real-time parent-teacher chat needed a layer that could actually scale, not a bolted-on messaging widget.

What We Built

Four Roles, One Underlying Platform

Not One Interface for Everyone

We ran a Design Sprint with the client before development started, to define user personas, prioritize features, and work out mockups. Teachers and parents would use this daily, many of them not especially tech-comfortable, so each portal needed to be intuitive from the first screen.

  • Standard web portals for Super Admin and Center Admin, built for full management capability.
  • A responsive Teacher portal for marking attendance and pulling reports from a phone, tablet, or desktop.
  • A cross-platform Parent mobile app for iOS and Android, so a report, event, or invoice was one tap away.
  • Guardian-level access nested under parent accounts, with permission logic kept out of every individual feature.
